What is OTiS?
- OTiS provides a simple, user-friendly interface to enter time into an electronic database.
- Each department will choose the type of device used for non-exempt employees to record time (online via a Web page, biometric, card swipe, telephone).
- Supervisors will review and approve time records on a user-friendly Web page. They also will be able to access reports on attendance, leave requests, and missing time records.
- Non-exempt staff employees will be able to request vacation and sick leave and have it approved by their supervisor online. OTis also will track vacation and sick leave so up-to-date accruals will appear on each paycheck—and accruals can be checked online at any time. In the summer of 2006, the vacation request and approval component will be implemented for exempt staff and faculty eligible for paid and unpaid leave.
- OTiS puts an expert in wage and hour policies on everybody's desktop.
Non-exempt staff are protected by a complex set of wage and hour laws concerning hours worked, breaks, lunch periods and overtime compensation. University policy provides for generous vacation and sick leave as well as other types of leave that need to be fairly administered for all our employees. Our new system has these rules built in so it simplifies the work supervisors are required to do to maintain compliance, coordinate leaves, and administer leave policies equitably.
The university has selected TALX Corporation to provide this automated time and attendance system. TALX is a leading provider of payroll data services. The university also has used TALX to provide employment verification and electronic W-2 forms. Their automated time and attendance service was selected after an extensive, two-year review of available systems. We will work with them during the next several months to customize the system for our needs.
